Administrative Assistant

We are seeking an Administrative Assistant to support the daily operations of our office and ensure a seamless, welcoming environment for our team and occasional visitors. This is a hands-on, all-around role that includes reception responsibilities, office coordination, scheduling, and administrative support.

You’ll be the face of the office and the behind-the-scenes engine that keeps things running smoothly. We value professionalism and a can-do attitude, and we’re happy to train the right person who’s eager to contribute and grow.

Full-time: (Monday - Friday, 9am - 5pm)

On-site: 400 Park Avenue, NYC

Compensation: $50 - 60K, based on experience

Responsibilities

  • Greet visitors and manage phone calls with professionalism and warmth
  • Coordinate scheduling, meetings, and calendar updates for the team
  • Support basic invoicing and accounts receivable follow-ups
  • Review employee timesheets to ensure accuracy and timely entry
  • Maintain the kitchen and office areas; order supplies as needed
  • Provide general administrative support to staff and leadership
  • Learn and use our in-house software for timesheets and task tracking
  • Be available for occasional, urgent after-hours communication if needed

  • Excellent communication skills
  • Ability to work on-site in New York City
