Operational Administrative Assistant

New York, New York

We are seeking an Operational Administrative Assistant to support the daily operations of multiple projects where Accurise team provides construction advisory services. This is a hands-on, all-around role that includes supporting multiple project teams, assisting with document management, project administration, scheduling, processing of project invoices, managing project correspondences, developing relationship with our counterparts on the client site and administrative support to project leaders.

You’ll be the face of the Accurise team for each project and the behind-the-scenes engine that keeps things running smoothly. We value professionalism and a can-do attitude more than prior experience, and we’re happy to train the right person who’s eager to contribute and grow.

Full-time: (Monday - Friday, 9am - 5pm)

On-site: 400 Park Avenue, NYC

Compensation: $50 - 60K, based on experience

Responsibilities

  • Provide day-to-day administrative support to project teams and leadership
  • Manage scheduling, calendar coordination, and meeting logistics for multiple ongoing projects
  • Organize and maintain project documentation, correspondences, and files
  • Assist in the preparation, review, and processing of project-related invoices
  • Track project deliverables and assist in meeting internal deadlines
  • Communicate professionally with client-side contacts and external partners
  • Coordinate project team requests, follow-ups, and internal task tracking
  • Support various project-related administrative tasks as assigned
  • Learn and use our in-house software for timesheets and task tracking
